Synching SharePoint to your desktop provides an easy to way save and edit files directly to and from SharePoint without leaving your desktop (or whatever program you have open). Once files are synced, your desktop file structure will reflect what's in SharePoint, so you will always be working on the most up-to-date version of a file. When you're using Microsoft programs (Word, Excel, etc.), you can even edit a file synchronously with another person (much like Google Docs).
1. Open the SharePoint site or folder that you want to be able to access.
Your staff login will give you access.
You may not want to sync the entire site—you may just want a single folder or a group of folders. Start this tutorial on the “level” that you want to sync. For example, if you want to sync just one folder, navigate to it in SharePoint, then start step two from there. If you want the entire site, start step two from the main site page.
3. In the popup box, click “Open Microsoft OneDrive” and sign in if you need to.
3.1. Go through the dialogue boxes. You may or may not get the option to sync certain folders, or to select the location of your sync (depending on the browser you’re using).
3.2. Allow SharePoint time to start syncing. The amount of time it takes will depend on your internet connection and how many files and folders you selected to sync. Your computer's performance may diminish during this.
3.3. When the sync is complete, open your File Explorer (or Finder on a Mac).
4. You can now access SharePoint files from File Explorer. On a PC, for the little blue building icon that says “Hands On Labs, Inc,” this is where you can save or search for files.
If you would like to create a desktop shortcut to your SharePoint files in Windows:
- Right-click the "Hands On Labs, Inc" icon.
- Mouse over "Send To" and then select "Desktop (create shortcut)"
- The icon will now appear on your desktop for quick access.
Since SharePoint files are universal and live, any files you add or remove from this folder will be added or removed from everyone’s access, so please be careful.
