How to Import a New Contact

1. In the main D365 page, select "Settings" and then "Advanced Settings."

2. In the new page, select "Settings."

3. Select "Data Management."

4. Select "Templates for Data Import."

Download a fresh template every time you complete this process as updates to the CRM can affect the fields in the template, and it is important to always be using the most updated version.

5. In the template dropdown, select the "Contact" template then select "Download."

6. Open the template that you saved and enter data into the fields.

Required fields:

  • First Name  
  • Last Name  
  • Job Title  
  • Company Name (institution name)  
  • Email address  
  • State 
  • Department2(column AB) – this should include either subject or Discipline Department 
  • Contact Origin (column BH) – this is a standard dropdown, please select “Web Research”)

  • Lead Source (column BV) – this is a standard dropdown, please select “Prospect 2021”

If you have multiple contacts, do not use the drag and drop function in Excel to autofill this section. Due to the year at the end of this, Excel will advance the numerical sequence in each row. If you have multiple contacts, please copy the first cell then PASTE content in the rest of the rows.

Additional items that are not required but are handy to have:

  • Street Address 1 – this should just be the address of the street only. If there is a suite number, enter it into the Street Address 2 column
  • City  
  • Zip Code  
  • Phone number 

7. Save the spreadsheet.

8. Go to Dynamics 365 and select "Advanced Settings" under the gear icon.

9. Select "Settings" and then "Data Management."

10. Select "Templates for Data Import" and then select "Contact" from the dropdown menu and select "Download."

Add the contacts you want to import into this template:

  • Required Fields
  • First Name
  • Last name
  • Company Name
  • Email address
  • Address (use Address Street #1 column)
  • City (if provided)
  • State (if provided)
  • Zip code (if provided
  • Job Title (if provided)
  • Department2 (Column)- Add the job titles in this section as well
  • Subject
  • Phone number if provided
  • Contact Origin - if prospecting please use Web Research
  • Lead source - for Prospecting please use PROSPECT2021

11. On the Data Management page, select "Imports," then select "Import Data."

12. Select "Choose File," and select the contact list file you saved earlier. Select "Next" at the bottom of the page, and then "Finish" to complete this process.
