How to Create a Demo Course in Cloud

The implementation team sets up demo courses for the DAS/DAPs so that prospective clients can review the curriculum and platform prior to making a purchasing decision. A DAS/DAP will identify a need for a demo course, and the submit a ticket via the Cloud support ticketing system.  

All demo courses are set up in the Science Interactive Cloud University institution in Cloud.

  • Full discipline demos are preferred for demo course requests.
  • Custom demos can be created in a limited set of circumstances. Review Cloud Demo Request Process and Policies.
  • When making a custom demo request, DAS/DAPs should include the name and SKU of each required lesson.
  • The number of active demos for a single institution should be kept to four (4) or less. If more are required, approval should be granted by Vice President of Sales or Vice President of Customer Success. 
  • The Implementation team will strive to set up demos within one business day of receiving the request.
  • Demos will be set for one calendar month (e.g., a course requested on June 3 will be available until July 3).
  • Demos can be extended once for an calendar month without approval. Additional extensions must be approved by the Vice President of Sales or Vice President of Customer Success.

Upon receiving a demo request ticket in the Implementation email, enter the Curriculum Support ticketing system in CRM. Then, select the demo request ticket to open.

2. Assign the ticket

Select the down carrot in the top right corner of the screen next to the ticket owner.  

Then, type your name into the "Owner" text box in the drop down menu to assign yourself the ticket.

3. Assign a case title and customer

Assign a case title to the demo request, following the naming convention "Institution Name, Demo Request." Then, assign the customer from the customer drop down list.

In a separate tab, log in to SI Cloud and click "Institutions" in the top-left corner of the banner.

5. Find the institution called "Science Interactive Cloud University"

Type "Science Interactive" into the search bar in the top-right corner of the screen.

Then, Click on "Science Interactive Cloud University"

6. Search for the university that needs the demo to see if they already have a user account

Use CTRL + F to search for the university name. If it exists, it is not necessary to create a new Institution User profile, and you can go on to Step 8 to create the demo. If it does not exist, go to Step 7 to create an institution user.

DO NOT use "Science Interactive University" for instructor demos. This account will be used for full discipline demos for DAS/DAPs on sales calls.

If the ticket indicates that the institution had a previous demo and you cannot find it in Science Interactive Cloud University, proceed to Step 7 to create a new Institution User profile.

7. If no institution user exists for this university, create a new one

7.1. Click "Add an Institution User"

7.2. Fill out the "Create User" form as follows

7.3. Click "Save"

8. Click "Add a Course"

From the Science Interactive Cloud University Institution Overview page, click the black Add a Course button in the top-right hand corner .

9. Fill out the Course Instance Form as follows

For simplicity's sake, don't worry about calculating 30 days from today, just set the end date for today's date of the following month. For example, if today is January 1st, select February 1st for the End Date.  

10. Click "Save"

Scroll down to find the demo you've just created (at the bottom of the list).  Copy the Enrollment URL that appears in brown text.

11. Repeat Steps 9-10 for any additional required demos

12. Email the demo access information to the DAS/DAP

Under "Timeline" select the "+" button. Then, select "Email."

Respond to the DAS/DAP who requested the demo using the following template:

Subject: Demo Request Completed for [School Name]

 

Email: Hello [Sales Rep],

The [School Name[discipline] Demo(s) is (are) ready. Please let me know if you have any questions, thanks!

Then, select "Send."

13. Close the demo request ticket

Select the "Resolve Case" button at the top of the ticket.

In the Resolve Case pop-up, you must fill in the "Resolution" line item. Type "Demo Created," and then select resolve to close the case.  

If a DAS/DAP responds to your email with the demo information, it will reopen the ticket. If this happens, respond to the email if needed, and then close the ticket again.
