Cloud Demo Request Process and Policy

This document describes the process and policies for requesting demo instances in Cloud.

Process

For clients reviewing a single discipline:

  1. DAS/DAP identifies the relevant full discipline demo that will suit the school’s needs. 
  2. DAS/DAP completes the demo request form.
  3. Implementation team creates the demo on Cloud.  
  4. Implementation team emails the DAS/DAP with the demo access information. 
  5. DAS/DAP emails the demo email address and default password to the instructor.

When to Utilize Custom Demos

In general, full discipline demos should always be used over custom demos, as they are faster to create and give prospective clients access to all relevant content within their discipline of interest. Custom demos should be used in a limited set of circumstances including:

  • Clients reviewing labs from multiple disciplines (2+ disciplines)
  • Clients looking to add a small set of labs as part of a SKU change
  • ESL/HOL to SI conversions when a lab alignment has already been created

In these cases, the following process should be followed:

  1. DAS/DAP identifies the relevant labs the instructor is interested in reviewing. 
  2. DAS/DAP completes the demo request form, requesting a custom demo. 
  3. Implementation team creates the demo on Cloud. 
  4. Implementation team emails the DAS/DAP with the demo access information.
  5. DAS/DAP emails the access information to the instructor.

  • The number of active demos for a single institution should be kept to four (4) or less. If more are required, approval should be granted by Vice President of Sales or Vice President of Customer Success. 
  • The Implementation team will strive to set up demos within one business day of receiving the request. 
  • Demos are not intended for student access. If an instructor wants to enroll as a fake student, implementation must be notified so that the course can be set up appropriately.

  • If an instructor needs to set up fake students in a demo course, they should do so with the student email domain “@demo.edu.” 
  • Demo accounts may be used by more than one instructor at the same institution. 
  • Demos will be set for one calendar month (i.e., a course requested on June 3 will be available through July 3). 
  • When making a custom demo request, include the name and SKU of each required lesson.

Process

  1. DAP/DAS submits a ticket the Implementation team to request an extension.
  2. Implementation team extends the demo by 30 additional days in Cloud. 
  3. Implementation team emails the requesting sales rep to notify that the extension is complete. 

Policies

  • Demos may be extended one (1) time. Additional extensions must be approved by the Vice President of Sales or Vice President of Customer Success. A valid reason for the extension must be provided along with the extension request.
