Knowledgebase Permissions

The Science Interactive knowledgebase sites are managed by various types of permissions. In general, the Science Interactive Group Knowledgebase (the internal knowledgebase), is the most heavily controlled, in order to allow for the best experience for our internal users. A description of the permissions structure and guidelines can be found below.

We have multiple groups within the screensteps platform. The groups facilitate manual/article restrictions as well as authoring permissions.

Group Type Description
 Department Groups (Readers) Each department that uses the knowledgebase has its own group in Cloud and unique manual permissions assigned to it. These groups do not have any authoring permissions.
Department "Authors" groups Department managers who wish to curate (or delegate curation) of their own internal knowledgebase manuals may be assigned (or choose an employee to be assigned) to a department "Authors" group, i.e., "Sales Authors." These users should be assigned to the "authors" group as well as their individual department group. The group as a whole is then granted authoring permission to their department's manuals in the internal knowledgebase.

NOTE: these user accounts must also be assigned to "Contributor" roles in order to author.
Managers Group The Managers group contains all the managers of departments that use the knowledgebase. The managers group generally has access to all manuals in the knowledgebase. When setting permissions on a new manual, always assign this group as a viewing group. Managers should be assigned to the "managers" group as well as to their individual department group.

We utilize viewing permissions primarily on the internal knowledgebase in order to allow for a streamlined knowledgebase experience in which users don't have to search through hundreds of articles for other departments in order to find the information they need.

Internal Knowledgebase -- Department Manuals
Manuals that only  apply to one department are grouped under a heading with that department name. Only users within that department have access to view those manuals (as managed by a group for each department). When an article needs to be referenced by multiple departments and does not make sense in the general manuals at the top of the site, it is referenced in manuals for both departments.
Internal Knowledgebase -- General Manuals
The top manuals in the knowledgebase (under no grouping) are considered cross-departmental manuals and have no viewing restrictions at the manual level. Certain chapters or articles in the SI Cloud manuals have restricted permissions to simplify those manuals for all users.
Customer-facing sites (SI Instructor/Student help guides, ESL guides, Starlab)
There are no viewing permissions set on the SI instructor help guides

Because our knowledgebases are valuable resources, authoring and publishing permissions are tightly controlled at the site, manual, and article level. In general, authoring permissions are more readily available on the internal site. Publishing permissions on the external sites are reserved to the technical editing team, and additional authoring permissions are tightly controlled on the individual article level.

  • Site owner and technical writer have access to edit and publish all manuals and articles.
  • If departments want to author and manage articles in their department grouping, we can grant authoring & publishing permissions on their department manuals only.
Customer-facing sites (SI Instructor/Student help guides, ESL guides, Starlab)
  • Site owner and technical writer have access to edit and publish all manuals and articles.
  • Individual stakeholders of individual articles may be granted edit-only access to those select articles on an "as-needed" basis only. Edits must be reviewed and published by site owner or technical writer.
  •  "Publish" permissions will not be granted to individuals other than the site owner and technical writer.
