Follow the steps below to set up your Office 365 account with multi-factor authentication (MFA). The instructions are illustrated for PC, but most steps apply for Mac as well (any differences are notated). Signing in with your MFA credentials will not be required frequently.
The MFA logins are only required for Microsoft products and do not apply to your company computers or software from other vendors.
If you are a warehouse employee who uses a shared device, you will be supplied with a physical USB key that will be required to login to O365 on those devices. You do not need to complete these steps.
1. Close all Microsoft Office applications.
This includes Microsoft Teams if you have it installed.
2. In a web browser, navigate to the Microsoft login portal.
This is found at https://portal.office.com.
4. Enter your information for security verification.
- Choose "Authentication phone."
- Set country to "United States (+1)" and enter your mobile number
- Set the method to "Send me a code by text message."
- Select "Next."
5. Enter the validation code that was sent to your phone.
6. Close this web browser page.
7. Launch Microsoft Word.
Ensure that you only launch Word and not any other Office apps.
8. [PC Only] Select your name on the top bar then select "Sign Out."
Select "Sign Out" again on in the confirmation popup.
9. [PC Only] Select the "Sign In" button on the top bar and sign in with your company credentials.
Microsoft will send a message to your phone with your authentication code. Enter it in the "Enter code" popup then select "Verify."
10. [Mac Only] When launching a Microsoft app for the first time (as well as Apple Mail), follow the prompts to perform steps 8-9 as needed.
While the layout of the screens and buttons may look different on a Mac, the actions you take will be similar enough that following the prompts will complete the process.
11. Launch other apps such as Outlook and Teams.
Typically, they will retain the credentials collected by Microsoft Word, but not always. Additionally, you may be challenged again by OneDrive. If so, follow the steps above to login.
