Cloud New Instance Process Overview and Policy

This document describes the process and policies for requesting and creating instances in HOL Cloud. This process includes the Sales, Customer Service, Science, and Operations departments. 

Process

  1. Sales creates the quote in Experlogix and gets approval from the customer. 
  2. Sales sends the CRM task to BOM Engineer with the approved price listed.
  3. BOM Engineer exports the kit from Experlogix to Nav and CRM then requests a BOM check from Science. 
  4. Science Team completes a BOM check/QC, adjusts the BOM as needed, then creates the master course. 
  5. BOM Engineer sends release email to everyone involved in the process. The kit is now released. 
  6. Sales submits a completed Instance Request Form
  7. Platform Support Specialist creates the institution, instructor, and instance in Cloud. 
  8. Platform Support Specialist forwards the IR email to the Sales rep, adding in the URL for the created instance. 
  9. Sales sends URL and temporary password to instructor. 

Policies

  • Instance requests may only be submitted once the kit has been officially released and the release email has been sent. 
  • Platform Support Specialist strives to complete instance requests within one business day of receiving a complete and accurate IR form.  
  • Instance Requests must be filled out using the appropriate form

Notes

  • Instance Requests submitted before the kit has been released will need to be resubmitted after BOM Engineering releases the kit. 
  • Platform Support Specialist: See “How to Create an Instance in Cloud” in ScreenSteps for instructions. 
  • Science Team: Lessons that utilize the V-Scope will appear in the BOM list as the “- V” version but should NOT be built with these lessons in HOL Cloud. Include the “Using the V-Scope” lesson, but the REGULAR version of these lessons.
