The Instance Request form is used the first time an institution will be using a specific Kit/Course. If an institution's course will be use for additional sections, clone the instance instead.
1. Open the Instance Request Form.
2. Fill in all fields.
For the majority of the form, DAS/DAPs should be able to source information from the adoption agreement, Dynamics, and/or information you already know from the client.
If you have any questions or concerns about any of the fields, contact your manager or the client/instructor as appropriate.
Key Field Information
This must be the full name of the institution.
Correct: Colorado Community College
Incorrect: Colorado CC, CCC
This feature prevents anyone from enrolling in a course for this institution if they do not have an email address provided by the school. This field is used frequently if your school uses LTI. If you are not sure what to put here, select No.
Example: if Science Interactive was an institution, our domain would be scienceinteractive.com, since our email addresses are all [email protected]. If this field were turned on for our courses, only people with email addresses that end in @scienceinteractive.com would be able to enroll.
This is the email domain for the school, so that Cloud knows which email addresses should be allowed to enroll in this school's courses if "Restrict Domain" is turned on.
If "Restrict Domain" is "no" in your IR, put N/A in this field
If "Restrict Domain" is "yes" in your IR, put the email domain in this field.The domain is everything that comes after the @ symbol in the school-provided email addresses. Do not include the @ sign.

Some schools have different domains for students and faculty; if this is the case, make sure you include both here.

When shopping cart is turned on, students can order kits and redeem vouchers directly from Cloud as well as redeem kit codes. When shopping cart is turned off, students can only use kit codes. Shopping cart should only be turned off if the school is supplied entirely by bulk orders.
- Instructor: This is the majority of the users we have. Instructors can teach and manage their course. They do not have access to any courses that they are not assigned to teach
- Instructor Admin: This is an instructor who also functions as an administrator for Cloud. Instructor Admins can manage settings for all the courses in their institution, including cloning and previewing all courses.
- Institution Admin: This role is usually reserved for program administrators or IT professionals. Institution Admins cannot be assigned to teach a course, but they do have access to view and manage settings for all the courses in the institution, including cloning instances.
Make sure you are using only the most current version of the SKU. If this is a custom course, the SKU must have been released by the BOM engineers for the instance request to be completed.
This field enables the institution to access the LTI hooks to integrate their section with their LMS. This enables grade transfer, automatic student enrollment, etc.
When enabled, this field allows students to download a PDF copy of their completed lessons. This feature is often enabled if the institution does not use LTI, but can be enabled for any course.
We advise against allowing PDF downloads, as it promotes uploading our content to cheating websites.
This field enables the shopping cart (and voucher code redemption) for this individual section.
Blanket Sales Order numbers uniquely identify an institution, its courses, and its individual sessions.
The Blanket Sales Order (BSO) number is populated from your Closed Won opportunity in Dynamics. The field is titled NAV Order Number:
This field should almost always be N/A. A price override may be included on standard kits with approval from the sales manager.
This is what the institution calls this course. (Example: Anatomy 101)
This is typically the name of the semester during which the course will be running. (Example: Fall 2020)
This should always be the day you are submitting the instance request (today). This field controls when the instance is available for instructors and students to access.
This should be a couple of weeks after the end of the semester. This field controls when the instance is no longer available for students to access/work in. Instructors will still be able to access and grade student work inside courses after the close date has passed.
This is the date the course actually starts. This field is used for order promising.
3. Select "Submit."
4. When the instance is complete, the implementation team will send you the enrollment URL for that instance.
5. Provide the instructor with the appropriate information to begin their course.
If the school is using LTI, the instructor just needs to know their login information and the enrollment URL does not need to be provided. They will sign in at myhol.holscience.com and students will enroll through their LMS.
If the school is not using LTI, provide the instructor with the enrollment URL.
